Afya X and LOOP Partnership Explained

Overview

Afya X has partnered with LOOP (powered by NCBA Bank) to deliver secure, automated, and scalable payments across the Afya X marketplace. Through this partnership, buyers get a PSP-backed wallet for funding orders, sellers receive guaranteed payouts after delivery confirmation, and agents are paid commissions seamlessly. Afya X does not hold customer funds or extend credit; payments and credit services are provided by LOOP/NCBA under their regulatory framework.

What Each Party Does

Afya X

  • Verifies licensed entities, orchestrates ordering and fulfillment via ERP.
  • Triggers payment events (reserve, release, refund) based on order status.
  • Deducts Afya X commission automatically at payout (via PSP netting).
  • Syncs transactions to accounting and reporting systems.

LOOP (Payment Service Provider)

  • Provides buyer and seller wallet/settlement accounts.
  • Holds and routes funds, executes disbursements/refunds.
  • Provides statements, webhooks, and reconciliation artifacts.
  • Offers working-capital/credit assessment and servicing.

Buyers

  • Fund wallets, place orders, confirm delivery, access statements.
  • May become eligible for credit with LOOP after sustained activity.

Sellers

  • Accept orders, fulfill and update status in AfyaX ERP.
  • Receive net payouts automatically after delivery confirmation.

Agents

  • Onboard/train buyers, support usage, receive automated commissions.


End-to-End Payment Flow

1. Wallet Funding (Buyer)

  • Buyer tops up AfyaX wallet via LOOP (bank rails/mobile money).
  • Funds appear instantly or near-real-time; statement is updated.

2. Order Placement

  • Buyer selects products (multi-supplier supported) and submits the order.
  • AfyaX ERP validates stock & SLA; funds are reserved (not yet paid out).

3. Fulfillment and Confirmation

  • Seller processes, ships/delivers, and updates status in Afya X ERP.
  • Buyer confirms delivery (or system auto-confirms per TAT policy).

4. Automated Disbursement

  • Afya X triggers payout instruction to LOOP.
  • Afya X commission is auto-netted by the PSP; seller receives the net.
  • Each supplier in a multi-supplier order receives their portion.

5. Refunds / Exceptions

  • If an order (or line) fails or is cancelled pre-delivery, the reserved funds are released back to the buyer wallet.
  • Partial refunds are supported at line level where applicable.

6. Reconciliation & Reporting

  • LOOP sends webhooks and daily statements.


Credit with LOOP (Working Capital)

  • Eligibility: Buyers that transact consistently for ~6 months may be assessed by LOOP for a credit line.
  • Use: Approved credit can be drawn at checkout to fund orders (subject to LOOP terms).
  • Servicing: Repayments and statements are managed by LOOP; Afya X provides order-level context for transparency.

Note: Credit approval, limits, and pricing remain at the discretion of LOOP/NCBA.


Security, Compliance & Data Handling

  • Regulated rails: Funds move on bank-regulated infrastructure (LOOP).
  • KYC/AML: Buyer and seller KYC are enforced; suspicious activity monitoring is handled per PSP policy.
  • Data minimization: Only essential identifiers are exchanged; sensitive data is encrypted in transit and at rest.
  • Auditability: Every payment event is linked to an order ID, timestamps, and user actions - full audit trail across Afya X ERP and PSP statements.


Operational SLAs & Resilience

  • SLA-driven payouts; Payouts are triggered on "Delivered/Completed" status (or buyer confirmation), ensuring pay-on-performance.
  • Downtime handling: If PSP Services are degraded, orders proceed; payment instructions queue and execute when rails are restored.
  • Chargebacks/Disputes: Managed within Afya X's dispute flow; wallet-level reversals/refunds are executed through LOOP when approved.
